Selling and invoicing

Subscription Settings

Company wide rules for subscriptions: grace period, cancel after grace, prorate charges. No ledger effect.

In detail

Subscription Settings is a single settings page with the company-wide rules for all subscriptions. Grace Period is the number of days after the due date before a subscription is marked Unpaid; Cancel Invoice After Grace stops the subscription and cancels its unpaid invoice once that period passes; Prorate decides whether a subscription that starts mid cycle is billed for part of the period. It never posts and it does not change invoices already generated. Set it once before the first subscription and revisit it only if customers routinely pay late, because a short grace period with cancellation on can cut off a paying customer over a slow bank transfer.

How to record it in BRAccount

  1. 01Go to Invoicing > Subscription Settings.
  2. 02Set Grace Period in days, for example 7.
  3. 03Tick Cancel Invoice After Grace only if you want unpaid subscriptions stopped automatically.
  4. 04Tick Prorate if mid-cycle starts should be billed for part of the period.
  5. 05Save; the rules apply to the next scheduler run.

When to use it

Open Accounts > Subscription Settings once when you start using subscriptions.

Example from the demo books

Grace period 7 days, after which the Subscription is marked Unpaid and stops creating invoices.
