Sales Order
A confirmed customer order listing what you must deliver and bill. No ledger effect; stock and debtors move on Delivery Note and Invoice.
In detail
A Sales Order is the customer's confirmed order: what you will deliver, at what rate, by which date. It posts nothing to the ledger; stock leaves and the customer becomes a debtor only on the Delivery Note and the Sales Invoice made from it. What the order does is reserve stock, drive the Sales Order Analysis report and show Per Delivered and Per Billed so you can see what is still owed to the customer. The Delivery Note made from it debits Cost of Goods Sold and credits Stock In Hand for the valuation of the goods, and the invoice then posts Debtors, Sale of Goods and VAT Payable. Close abandoned orders instead of deleting them so the history survives.
Formula
Per Billed = Billed amount / Order net total x 100; Per Delivered = Delivered qty / Ordered qty x 100
Accounting entry
| Account | Debit | Credit |
|---|---|---|
| Cost of Goods Sold - YFF (on the Delivery Note) | Rs 20,000 | |
| Stock In Hand - YFF (on the Delivery Note) | Rs 20,000 |
How to record it in BRAccount
- 01Go to Selling > Sales Order > New, or open the Quotation and click Create > Sales Order.
- 02Pick the customer, set the Delivery Date, and add item rows with quantity, rate and warehouse.
- 03Pick VAT 13% - YFF in Sales Taxes and Charges and check the grand total.
- 04Save and Submit; nothing posts, the order locks and stock is reserved.
- 05Click Create > Delivery Note, Submit it; Cost of Goods Sold is debited and Stock In Hand credited.
- 06Click Create > Sales Invoice, Submit it; Debtors, Sale of Goods and VAT Payable post.
- 07Watch Per Delivered and Per Billed on the order reach 100, or use Close for a cancelled deal.
When to use it
Create from a Quotation or directly under Selling > Sales Order. Submitted orders lock; use Close for abandoned orders instead of deleting.
