Selling and invoicing

Sales Invoice

Also called: Tax invoice, bill

The bill you issue to a customer. On submit it debits Debtors (the customer) and credits Sales and VAT Payable; with Update Stock it also moves stock.

In detail

The Sales Invoice is the tax invoice BRAccount issues for every sale. Under the Electronic Billing Procedure 2082 each one is numbered in sequence, carries a QR code and is sent to the IRD's CBMS server on submit. Submitting debits Debtors for the grand total, credits the income account on each item row and credits VAT Payable for the 13% in the taxes table; those rows feed the Sales Book and the VAT return. A credit note is the same document with Is Return ticked against the original: it posts the mirror image, debiting Sale of Goods and VAT Payable and crediting Debtors, because a submitted invoice is never deleted. Cancel reverses the rows; amend makes a new numbered copy.

Formula

Grand total = Net total + VAT 13% of net total; ACC-SINV-2026-00004: Rs 32,000 + Rs 4,160 = Rs 36,160

Accounting entry

AccountDebitCredit
Debtors - YFF (Jivan Dahal)Rs 36,160
Sale of Goods - YFFRs 32,000
VAT Payable - YFFRs 4,160

How to record it in BRAccount

  1. 01Go to Invoicing > Sales Invoice > New.
  2. 02Pick the customer; Debtors - YFF, currency and payment terms fill from the Customer master.
  3. 03Set the posting date; the ACC-SINV series number is given on save.
  4. 04Add item rows with quantity and rate; the income account comes from the item or the company default.

  6. 06Save, check the grand total and rounded total, then Submit. The entry below posts and the invoice locks.
  7. 07Use Create > Payment to record the receipt, or Print for the IRD format with the QR code.
  8. 08For a credit note open the invoice, choose Create > Return, keep the negative quantities and Submit.

When to use it

Create from Accounts > Sales Invoice or from a Sales Order or Delivery Note. Submitted invoices lock and cannot be deleted, cancel and amend instead.
