Selling and invoicing

Customer

The master record for someone who buys from you: name, group, territory, PAN, credit limit, price list and receivable account. No ledger effect by itself.

In detail

The Customer master holds everything a sale needs to post correctly, without posting anything itself. The Accounting tab sets the receivable account per company, Debtors - YFF by default, which every Sales Invoice for this customer will debit. The Tax tab holds the PAN, printed on the tax invoice and sent to CBMS, and the Tax Category, which the Tax Rule turns into the right VAT template: 13%, 5%, export or exempt. The Credit Limit blocks new invoices once the outstanding passes it unless Bypass Credit Limit Check is ticked. Default price list, payment terms and sales person copy onto every new document. A wrong default here quietly misposts every future invoice, so check these fields before the first sale.

How to record it in BRAccount

  1. 01Go to Selling > Customer > New.
  2. 02Enter the name, choose Individual or Company, then pick Customer Group and Territory.
  3. 03On the Tax tab enter the PAN in Tax ID and set Tax Category, for example Nepal VAT 13%.
  4. 04On the Accounting tab confirm the receivable account is Debtors - YFF and set a Credit Limit if you give credit.
  5. 05On the Sales tab set the default Price List, Payment Terms Template and Sales Person.
  6. 06Save. Nothing posts; the next Sales Invoice for this customer picks up these defaults.

When to use it

Create from Selling > Customer before raising a Quotation, Sales Order or Sales Invoice. Fill the PAN for IRD and CBMS reporting.
