Account type: Receivable
Also called: Debtors
Marks an account as Debtors. Sales Invoices post the customer balance here and Payment Entries clear it, so party-wise balances can be tracked.
In detail
Account type Receivable tells BRAccount that an account holds money customers owe you, so every posting to it must name a party. That is what makes party-wise balances possible: the General Ledger can be filtered by customer, the Accounts Receivable report ages each invoice by due date, and the Payment Entry knows which invoices are still open. The demo chart has one such account, Debtors - YFF, set as the company default and copied onto every Customer. A second receivable account needs the same type or Sales Invoices will refuse it and payments will not clear it. Never post to it by Journal Entry without a party, because that balance will appear on no customer statement.
Formula
Debtors balance = Opening + Sales Invoice grand totals - Receipts - Credit notes - Write offs
Accounting entry
| Account | Debit | Credit |
|---|---|---|
| Debtors - YFF (Jivan Dahal) | Rs 36,160 | |
| Sale of Goods - YFF | Rs 32,000 | |
| VAT Payable - YFF | Rs 4,160 |
How to record it in BRAccount
- 01Go to Accounts Setup > Chart of Accounts and expand Assets > Current Assets > Trade and other receivables.
- 02Open Debtors - YFF; Account Type shows Receivable and Root Type shows Asset.
- 03Go to Accounts Setup > Company and confirm Default Receivable Account is Debtors - YFF.
- 04Submit a Sales Invoice; its grand total debits this account against the customer, as below.
- 05Open the account, click View Ledger and group by Party to read each customer's balance.
- 06Open Financial Reports > Accounts Receivable to see the same balances aged by due date.
When to use it
Set on the Debtors account in the Chart of Accounts. The company default is Debtors - YFF; every Sales Invoice must use a Receivable account.
Example from the demo books
After ACC-SINV-2026-00004 is submitted, Debtors - YFF shows Rs 36,160 against Jivan Dahal until the payment arrives.
