Quotation
Also called: Estimate, proposal
A priced offer sent to a customer or lead before any order exists. No ledger effect.
In detail
A Quotation is a priced offer to a customer or a lead, valid until the date you set, and it posts nothing to the ledger because no sale has happened yet. It carries the same item rows, price list, pricing rules and taxes table as an invoice, so the customer sees the VAT and the grand total they will actually pay, and it can be printed with your Terms and Conditions. Its status moves from Draft to Open on submit, then to Ordered when you convert it to a Sales Order, or Lost if you record a lost reason. Keep quotations as the source of orders so that rates agreed with the customer flow through to the invoice unchanged.
Formula
Grand total = Sum of item amounts - Discount + Taxes; Rs 32,000 + 13% VAT = Rs 36,160
How to record it in BRAccount
- 01Go to Selling > Quotation > New.
- 02Choose Quotation To Customer or Lead and pick the party.
- 03Set Valid Till, add item rows with quantity and rate, and pick the price list.
- 04In Sales Taxes and Charges pick VAT 13% - YFF so the customer sees the full amount.
- 05Add Terms and Conditions, Save and Submit; nothing posts and the quotation locks.
- 06When the customer agrees, click Create > Sales Order; otherwise set a lost reason.
When to use it
Create under Selling > Quotation; on acceptance convert it to a Sales Order. Submitted quotations lock, cancel and amend to change them.
