Selling and invoicing

POS Invoice

A quick counter sale, usually paid at once. It is not posted alone; the POS Closing Entry merges it into a consolidated Sales Invoice.

In detail

A POS Invoice is the quick bill a cashier makes at the counter, with items scanned or picked, payment taken at once in cash or by card, and a receipt printed. It syncs to CBMS like any invoice but, unlike a Sales Invoice, it does not post to the ledger by itself; it updates stock immediately and waits for the POS Closing Entry, which merges all the shift's POS Invoices into one consolidated Sales Invoice that posts the sales, VAT and cash. The figures below are the share of one Rs 1,130 sale in that consolidated posting. A return at the counter is a POS Invoice with Is Return ticked against the original; its negative amounts reduce the consolidation.

Formula

Receipt total = Items at price list rate - Discounts + VAT 13%; Rs 1,000 + Rs 130 = Rs 1,130

Accounting entry

AccountDebitCredit
Cash - YFFRs 1,130
Sale of Goods - YFFRs 1,000
VAT Payable - YFFRs 130
