POS Closing Entry
Closes a shift: counts cash per mode of payment and merges the shift's POS Invoices into Sales Invoices, which post to the ledger.
In detail
A POS Closing Entry ends the shift. It lists every POS Invoice since the opening, totals the sales per mode of payment, shows the expected amount against what the cashier counted, and records the difference. On submit it does the accounting work: it merges the shift's POS Invoices into one or more consolidated Sales Invoices, grouped by customer, and those invoices post cash, sales and VAT in one entry per group. The figures below are a shift whose cash sales came to Rs 43,000 on top of the Rs 5,000 float. A shortage is only recorded on the closing; book it separately by Journal Entry if the cashier is to be charged. Submitted closings lock.
Formula
Difference = Closing amount counted - (Opening amount + Expected sales); Rs 47,900 - Rs 48,000 = Rs 100 short
Accounting entry
| Account | Debit | Credit |
|---|---|---|
| Cash - YFF | Rs 43,000 | |
| Sale of Goods - YFF | Rs 38,053.10 | |
| VAT Payable - YFF | Rs 4,946.90 |
How to record it in BRAccount
- 01Go to Invoicing > POS Closing Entry > New, or click Close the POS from the sales screen.
- 02Pick the POS Opening Entry; the POS Invoices and the expected amounts per mode load.
- 03Enter the Closing Amount counted for each mode; the Difference column fills.
- 04Explain any difference in the notes, then Save and Submit.
- 05The consolidated Sales Invoice is created and the entry above posts; open it from the closing's links.
When to use it
Create from Accounts > POS Closing Entry at shift end; submit after explaining differences. Submitted closings lock.
