Selling and invoicing

Party Specific Item

Restricts which items a particular customer or supplier can buy or sell. No ledger effect.

In detail

Party Specific Item restricts the items a given customer or supplier may appear with on documents. One record says this party, this item or item group, and after that the item picker on their quotations, orders and invoices offers only the allowed items. Nothing posts; it is a guard rail. It prevents the common mistake of billing a laptop against a stationery supplier or selling a wholesale-only line to a retail customer, which would otherwise create wrong expense accounts and wrong VAT rows. Use item groups rather than single items where possible so the rule does not need editing every time a new product is added.

How to record it in BRAccount

  1. 01Go to Selling > Party Specific Item > New.
  2. 02Choose Party Type Customer or Supplier and pick the party.
  3. 03Choose Restrict Based On Item or Item Group and pick the allowed item or group.
  4. 04Save; add more records for other allowed groups.
  5. 05Open a new document for that party and note the item picker shows only the allowed items.

When to use it

Create under Selling > Party Specific Item; the item picker on their transactions then shows only allowed items.

Example from the demo books

Restrict a stationery supplier to stationery items so a laptop cannot be billed from them by mistake.
