Selling and invoicing

Subscription

Automatically generates a Sales or Purchase Invoice every billing cycle for a customer or supplier. Each generated invoice posts normally.

In detail

A Subscription automates recurring billing: pick a customer or supplier, one or more Subscription Plans and a start date, and BRAccount creates a Sales Invoice or Purchase Invoice at the start of every billing cycle. Each generated invoice is an ordinary invoice, so it posts Debtors, income and VAT exactly as a hand-made one, syncs to CBMS and appears in the Sales Book. The subscription tracks the current invoice period, the days of grace before it is marked Unpaid, and whether it should generate at the start or end of the period. Nothing posts until the first invoice is generated. Use it for maintenance contracts, rent you charge and monthly service fees.

Formula

Invoice amount = Plan cost x Quantity per billing interval, prorated if Prorate is on; Rs 5,000 + VAT Rs 650 = Rs 5,650

Accounting entry

AccountDebitCredit
Debtors - YFF (Jivan Dahal)Rs 5,650
Rendering of Services - YFFRs 5,000
VAT Payable - YFFRs 650

How to record it in BRAccount

  1. 01Go to Invoicing > Subscription > New.
  2. 02Choose Party Type Customer, pick the customer and set the Start Date.
  3. 03Add the Subscription Plan rows with quantity and pick the Sales Taxes template VAT 13% - YFF.
  4. 04Set Generate Invoice At start or end of period, Days Until Due and the grace period, then Save.
  5. 05The scheduler creates the first invoice; open it from the subscription and Submit if it is a draft.
  6. 06Each generated invoice posts the entry above; cancel the subscription to stop future invoices.

When to use it

Create under Accounts > Subscription with a plan and start date; the scheduler creates the invoices.
