Stock Qty vs Serial No Count
Items where the number of active serial numbers differs from the stock quantity.
In detail
Stock Qty vs Serial No Count checks that, for every serialised item and warehouse, the number of Serial No records marked active in that warehouse equals the stock quantity in the Bin. Each physical unit must have exactly one live serial number, so a gap means a unit was received without a serial, a serial was marked delivered without reducing stock, or a cancelled voucher left a serial in the wrong status. Stock taking of laptops and phones depends on this list matching the shelf, and warranty claims depend on each serial being in the right place. Laptops at quantity 3 with only 2 active serials is the typical row. Run it before any stock count of serialised items.
Formula
Per item and warehouse: Count of active Serial No records - Bin actual qty = 0; a row appears when the difference is not zero
How to record it in BRAccount
- 01Go to Financial Reports > Stock Qty vs Serial No Count, or find it under Stock reports.
- 02Set Company and optionally Item or Warehouse.
- 03Read Item, Warehouse, Stock Qty, Serial No Count and Difference per row.
- 04Open Stock > Serial No filtered by the item to see which serials are active and where.
- 05Post a Stock Reconciliation with the correct serial numbers for the warehouse, or amend the voucher that missed one.
- 06Create a Repost Item Valuation for the item and warehouse, then rerun until the difference is zero.
When to use it
Run for serialised items before stock taking.
