Negative Batch Report

Batches whose balance has gone below zero in some warehouse.

In detail

Negative Batch Report lists batches whose balance in a warehouse has gone below zero, which means more of that batch was issued than was ever received there. It happens when a Delivery Note or Stock Entry picks a batch before the Purchase Receipt for it is submitted, when a receipt is cancelled after the goods were sold, or when Allow Negative Stock was switched on during a migration. A negative batch cannot be real, and it makes batch expiry reports, traceability and valuation wrong for that item. Batch B-2083-02 at minus 5 in the Pokhara store is a typical row. Fix the history, not the number: enter the missing receipt or move the issue to the right batch.

Formula

Per batch and warehouse: Sum of received qty - Sum of issued qty must be >= 0; a row appears when it is negative

How to record it in BRAccount

  1. 01Go to Financial Reports > Negative Batch Report, or find it under Stock reports.
  2. 02Set Company and optionally Item, Batch or Warehouse.
  3. 03Read Batch, Item, Warehouse and the negative balance per row.
  4. 04Open Stock Ledger for that batch to find the issue that went below zero.
  5. 05Submit the missing Purchase Receipt or Stock Entry dated before the issue, or amend the issue to the correct batch.
  6. 06Create a Repost Item Valuation from that date, then rerun the report until it is empty.

When to use it

Run if batch tracked items were issued before being received.
