Invalid Ledger Entries

GL and Payment Ledger entries that still point to cancelled or missing vouchers, which should never exist.

In detail

Invalid Ledger Entries hunts for GL Entry and Payment Ledger Entry rows with no live voucher behind them: the voucher was cancelled or deleted but its rows stayed active, usually after a failed cancel, a restore or a bad import. Such rows sit in the Trial Balance and in customer balances while nothing in the desk explains them, which is why the totals refuse to tally. The report should be empty; every entry behind the 207 sales invoices, 125 purchase invoices, 148 payment entries and 174 journal entries in the demo has a submitted voucher. Run it before a period close, before an audit and whenever the Trial Balance will not balance.

Formula

Row appears when an active GL Entry or Payment Ledger Entry (is_cancelled = 0) points to a voucher that is not submitted (docstatus not 1)

How to record it in BRAccount

  1. 01Go to Financial Reports > Invalid Ledger Entries.
  2. 02Set Company, From Date and To Date for the period you are closing.
  3. 03Read Voucher Type, Voucher No, Account and Amount for each row; an empty report means the ledger is clean.
  4. 04Open the voucher named in a row and check whether it is cancelled, draft or missing.
  5. 05For a cancelled voucher, search Repost Accounting Ledger, add the voucher and submit to mark its rows cancelled.
  6. 06For a voucher that no longer exists, ask your BRAccount support partner to clean the rows.
  7. 07Rerun until empty, then run the Trial Balance again.

When to use it

Run before closing a period or when the trial balance will not tally.
