General and Payment Ledger Comparison

Compares party balances in the General Ledger with the Payment Ledger and lists any mismatch.

In detail

General and Payment Ledger Comparison checks that the two books BRAccount keeps for customers and suppliers agree: the General Ledger balance of Debtors or Creditors for each party must equal the sum of that party's Payment Ledger Entry rows. When they differ, an invoice can show an outstanding amount while the customer's ledger says zero, or Accounts Receivable and the Trial Balance disagree on total debtors. The gap usually comes from a migration, a cancelled voucher that only half reversed, or a Journal Entry posted to Debtors without a party. Jivan Dahal shows Rs 0 in both ledgers in the demo, so no row appears. Run it when an outstanding looks wrong and after any data import.

Formula

For each party and account: GL balance (debit - credit) - Payment Ledger balance = 0; a row appears when the difference is not zero

How to record it in BRAccount

  1. 01Go to Financial Reports > General and Payment Ledger Comparison.
  2. 02Set Company, Period Start Date and Period End Date; optionally Account Debtors or Creditors and one Party.
  3. 03Read Party, GL Balance, Payment Ledger Balance and Difference per row.
  4. 04Open the General Ledger for that party and look for a Journal Entry without a party or a half cancelled voucher.
  5. 05Search Repost Payment Ledger, add the affected vouchers and submit to rebuild the Payment Ledger rows.
  6. 06If the General Ledger side is wrong, use Repost Accounting Ledger for the same vouchers instead.
  7. 07Rerun until no row remains, then check Accounts Receivable against the Trial Balance.

When to use it

Run when a customer's outstanding looks wrong or after data migration.

Example from the demo books
