Billed Items To Be Received
Purchase Invoice lines you have been billed for but goods have not been received yet.
In detail
Billed Items To Be Received is the reverse case: Purchase Invoice lines you have been billed for where the goods have not yet been received into stock, with billed, received and pending quantity. It happens when a supplier invoices before shipping or when the Purchase Invoice was entered before the Purchase Receipt. Until the receipt is made, the stock is not in the warehouse records and cannot be sold, while the expense or asset is already booked. Use it to follow up suppliers who bill ahead and to make sure every paid for item eventually arrives. If the Dell laptop had been billed before arrival, it would show here until the Purchase Receipt is submitted.
Formula
Pending qty = Billed qty - Received qty per Purchase Invoice line; row shows while Received qty < Billed qty
How to record it in BRAccount
- 01Go to Financial Reports > Billed Items To Be Received.
- 02Set Company and optionally From Date, To Date, Supplier or Item.
- 03Read Purchase Invoice, Supplier, Item, Billed Qty, Received Qty and Pending Qty.
- 04Call the supplier for the pending items and agree a delivery date.
- 05When goods arrive, open the Purchase Invoice and click Create > Purchase Receipt, then submit it.
- 06Rerun the report; the row disappears once received quantity equals billed quantity.
When to use it
Open to follow up suppliers who billed before delivering.
