Payment Reconciliation

A tool that matches unallocated payments and credit notes against open invoices for one party. Allocation updates the Payment Entry.

In detail

Payment Reconciliation is the tool for a party whose payments and invoices were never linked: an advance received without an invoice, a receipt entered without allocation, or a credit note still open next to the invoice it should cancel. You pick the party, fetch the unallocated payments on one side and the open invoices on the other, allocate, and click Reconcile. Allocating a payment posts no new GL rows; it writes the Payment Ledger links that mark the invoice paid. Matching a credit note or debit note against an invoice does post: BRAccount creates a Journal Entry that debits and credits the same party account, each row referencing one document, so both become settled. Mistakes are undone with Unreconcile Payment.

Formula

Allocated per row = min(Unallocated payment, Invoice outstanding); invoice outstanding falls by the same amount

Accounting entry

AccountDebitCredit
Debtors - YFF (Jivan Dahal, against the credit note)Rs 36,160
Debtors - YFF (Jivan Dahal, against the invoice)Rs 36,160

How to record it in BRAccount

  1. 01Go to Payments > Payment Reconciliation.
  2. 02Pick the Company, Party Type Customer, the party and the receivable account Debtors - YFF.
  3. 03Set the date filters if needed and click Get Unreconciled Entries.
  4. 04In the Allocation table set Allocated Amount for each payment against the right invoice.
  5. 05Click Reconcile; payments are linked with no GL change, and credit notes post the Journal Entry below.
  6. 06Open the invoice to confirm the Outstanding Amount is now zero.

When to use it

Open Accounts > Payment Reconciliation, pick the party, fetch the open items and allocate.

Example from the demo books
