Journal Entry

Also called: JV, voucher

A manual entry with any debits and credits that must balance. It posts exactly the accounts you type.

In detail

A Journal Entry is the general voucher: a list of accounts with a debit or credit on each row, which must balance, and which posts exactly as typed. It is the tool for everything the other documents do not cover: accruing a rent bill that has not arrived, correcting a wrong account, booking depreciation, opening balances through Temporary Opening, or recording TDS deposited to the IRD. Rows against Debtors or Creditors must name the party or the balance disappears from party reports. Because nothing checks the sense of the accounts, a Journal Entry is also the easiest place to make a mess; use the Voucher Type to label it and write a clear User Remark for the auditor.

Formula

Total debit = Total credit; the entry will not save otherwise. Rent accrual: Rs 50,000 = Rs 45,000 + Rs 5,000

Accounting entry

AccountDebitCredit
Office Rent - YFFRs 50,000
Accrued Expenses - YFFRs 45,000
TDS Payable - YFF (rent 10%)Rs 5,000

How to record it in BRAccount

  1. 01Go to Invoicing > Journal Entry > New.
  2. 02Choose the Voucher Type, usually Journal Entry, and set the Posting Date.
  3. 03Add a row per account with Debit or Credit; set Party Type and Party on Debtors or Creditors rows.
  4. 04Check Total Debit equals Total Credit and the Difference shows zero.
  5. 05Write a User Remark explaining the entry, then Save and Submit. The rows below post and the entry locks.
  6. 06To reverse later, open it and click Reverse Journal Entry rather than editing.

When to use it

Create under Accounts > Journal Entry for adjustments, accruals, opening balances or depreciation. Submitted entries lock, cancel and amend instead.
