Advance Payment Ledger Entry

Tracks advances allocated against Sales Orders and Purchase Orders, so each order's advance paid stays correct. No separate GL effect.

In detail

An Advance Payment Ledger Entry tracks money received or paid against a Sales Order or Purchase Order before any invoice exists. When a Payment Entry or Journal Entry references an order, a row is written here so the order's Advance Paid field stays correct and the later invoice can pull the advance in and reduce its outstanding. It adds no GL rows beyond the Payment Entry itself, which debits bank and credits Debtors as usual, or posts to a separate advance account if Book Advance Payments in Separate Party Account is switched on in Accounts Settings. Read it when an order's advance looks wrong or an invoice fails to find the advance.

Accounting entry

AccountDebitCredit
Bank Account - YFFRs 10,000
Debtors - YFF (customer, advance against Sales Order)Rs 10,000

How to record it in BRAccount

  1. 01Receive the advance with a Payment Entry whose References row points to the Sales Order, and Submit.
  2. 02Go to Payments > Advance Payment Ledger Entry and filter by the order; the row shows Rs 10,000.
  3. 03Create the Sales Invoice from the order and click Get Advances Received; the advance is allocated.
  4. 04Submit the invoice; its outstanding is the grand total less the advance, and the ledger row is consumed.

When to use it

Created automatically when a Payment or Journal Entry references an order; view under Accounts > Advance Payment Ledger Entry.

Example from the demo books

A Rs 10,000 advance from a customer against a Sales Order shows here until the invoice absorbs it.
