Payment Ledger Entry

An internal ledger that tracks every invoice and payment per party so outstanding amounts can be matched. It mirrors the GL.

In detail

The Payment Ledger is a second ledger that BRAccount writes alongside the General Ledger for every row that hits a Receivable or Payable account. Each Payment Ledger Entry records the party, the voucher, the amount and which invoice it was allocated against, and the sum of these rows per invoice is the outstanding amount you see on the invoice and in the Accounts Receivable and Accounts Payable reports. It never posts GL rows of its own, so the GL balance and the Payment Ledger must always agree. If an invoice shows a wrong outstanding after a cancellation or a data fix, the rows here are out of step and Repost Payment Ledger rebuilds them.

Formula

Invoice outstanding = Sum of Payment Ledger amounts against that voucher, invoice positive, payments and credit notes negative

How to record it in BRAccount

  1. 01Go to Payments > Payment Ledger Entry and filter by Party.
  2. 02Each row shows the voucher and the Against Voucher it was allocated to.
  3. 03Add the Amount column for ACC-SINV-2026-00004: Rs 36,160 from the invoice, Rs 36,160 negative from ACC-PAY-2026-00001, net zero.
  4. 04If the net does not match the invoice's Outstanding Amount, create a Repost Payment Ledger for that voucher.

When to use it

Read only; created automatically. Use Repost Payment Ledger if outstanding amounts look wrong.

Example from the demo books

ACC-SINV-2026-00004 shows Rs 36,160 due and ACC-PAY-2026-00001 shows Rs 36,160 against it.
