Buying and bills

Supplier

The master for someone you buy from: name, group, PAN, VAT registration, default payable account and payment terms. No ledger effect.

In detail

The Supplier master is the record a Purchase Invoice reads before it posts, so its fields decide the accounting even though the master itself posts nothing. The Accounting tab sets the payable account per company, Creditors - YFF by default. The Tax tab holds the PAN, the Tax Category that the Tax Rule converts into the VAT template, and the Tax Withholding Category that tells each bill which TDS rate to deduct: Rent 10%, Contract Payment 1.5% above Rs 50,000, Consultancy 1.5% for a VAT registered firm or 15% for one that is not. Default payment terms set the due dates. A missing withholding category means no TDS is deducted, and the IRD penalty lands on you.

How to record it in BRAccount

  1. 01Go to Buying > Supplier > New.
  2. 02Enter the name, choose Company or Individual, and pick the Supplier Group.
  3. 03On the Tax tab enter the PAN in Tax ID and set the Tax Category.
  4. 04Pick the Tax Withholding Category, for example Nepal TDS - Rent (Resident), so bills deduct TDS.
  5. 05On the Accounting tab confirm the payable account is Creditors - YFF.
  6. 06Set the default Payment Terms Template and the Price List on the Purchasing tab.
  7. 07Save. Nothing posts; the next Purchase Invoice for this supplier uses these defaults.

When to use it

Create under Buying > Supplier before a Purchase Order or Invoice. The Tax Withholding Category drives TDS and the Tax Category drives VAT.
