Request for Quotation
A request sent to several suppliers for prices on the same items. No ledger effect.
In detail
A Request for Quotation is the document you send to several suppliers asking them to price the same list of items by a given date. It posts nothing and commits you to nothing. It carries the item rows with quantities, the list of suppliers with their contacts, and an email template, and BRAccount can email each supplier a copy with a link to reply. When replies come in you enter each one as a Supplier Quotation linked to this request, and the Supplier Quotation Comparison report then shows the prices side by side. For a small Nepali firm it is the written trail that proves three quotes were taken before a big purchase.
How to record it in BRAccount
- 01Go to Buying > Request for Quotation > New.
- 02Add one row per supplier in the Suppliers table and the items with quantities below.
- 03Set the Required Date and pick the email template, then Save and Submit; the request locks.
- 04Click Send Emails to Suppliers, or print and send it by hand.
- 05For each reply click Create > Supplier Quotation and enter the supplier's rates.
- 06Open Financial Reports > Supplier Quotation Comparison to pick the best price.
When to use it
Create under Buying > Request for Quotation, email suppliers, then record their replies as Supplier Quotations. Submitted requests lock.
