Stock Closing Entry

Freezes stock balances up to a date so reports load faster and older entries are locked. No new GL effect.

In detail

A Stock Closing Entry freezes the stock position up to a chosen date by computing and storing a Stock Closing Balance per item, warehouse and batch, so that Stock Balance and Stock Ledger reports for later periods start from the stored figures instead of re-reading every historical row. It posts no GL entries and changes no values. Its second effect is control: once a closing exists, back dated stock documents before that date are blocked, which protects a period you have already reported to the IRD. Run it after the month end count and the VAT return, and again at Ashadh end. Cancelling it reopens the period.

Formula

Stored closing qty = sum of actual qty from all Stock Ledger Entries up to the closing date, per item and warehouse

How to record it in BRAccount

  1. 01Finish all stock documents and the Stock Reconciliation for the period first.
  2. 02Go to Stock > Stock Closing Entry > New.
  3. 03Set the From Date and To Date, for example Shrawan 1 to Ashadh end 2083.
  4. 04Submit. The system builds Stock Closing Balance rows in the background.
  5. 05Open Stock Balance for a later date; it now starts from the closing figures.
  6. 06Cancel the closing only if a back dated correction is unavoidable.

When to use it

Create under Stock > Stock Closing Entry at period end. Submitted closings lock.

Example from the demo books

Close stock as at Ashadh end 2083.
