Serial No

One uniquely numbered unit of an item, tracked through purchase, stock and sale. No ledger effect.

In detail

A Serial No is one physical unit of an item with its own unique number, used for laptops, phones, machines and anything under warranty. Items with Has Serial No ticked need one serial per unit on every receipt, transfer and delivery, attached through a Serial and Batch Bundle, so the system always knows which warehouse holds DL5520-0091 and which customer took it. Each serial carries its own purchase rate, so the cost charged to Cost of Goods Sold on sale is exactly that unit's cost. Warranty and service contract dates live on the record. The serial itself posts nothing; the documents that move it do.

Formula

COGS on sale of a serial = that unit's own incoming rate; stock qty = count of serials with status Active in the warehouse

How to record it in BRAccount

  1. 01Open the Item, tick Has Serial No and set a Serial Number Series such as DL5520-.
  2. 02Go to Stock > Purchase Receipt > New, add the item and open the Serial and Batch Bundle.
  3. 03Enter or generate one serial per unit and submit the receipt.
  4. 04On the Delivery Note, pick the exact serial numbers leaving.
  5. 05Open Stock > Serial No to see each unit's warehouse, status and warranty expiry.

When to use it

Enable Has Serial No on the Item; serial numbers are created on receipt.
