Purchase Receipt

Also called: GRN, goods receipt

Records goods arriving from a supplier. On submit it debits Stock and credits Stock Received But Not Billed.

In detail

A Purchase Receipt, the goods received note, records that supplier goods have physically arrived and is the document that brings them into stock at cost. On submit it writes Stock Ledger Entries into the accepted warehouse and posts Dr Stock In Hand - YFF, Cr Stock Received But Not Billed - YFF for the goods value, so the asset and the obligation appear before the supplier's bill. Rejected quantities go to a rejected warehouse and are not valued. The supplier's Purchase Invoice, created from the receipt, later clears Stock Received But Not Billed to Creditors and adds VAT Receivable. Freight on the receipt's tax table marked Valuation is absorbed into item cost. Receipts lock on submit; cancel reverses, amend copies.

Formula

Stock value received = accepted qty x (rate + allocated valuation charges); the invoice later clears the same value
