Item Shortage Report
Items whose projected quantity has gone negative, meaning orders exceed stock, from Bin.
In detail
Item Shortage Report lists every item and warehouse whose projected quantity in the Bin has gone below zero, meaning that confirmed Sales Orders, Work Orders or Material Requests will take more than what is on hand plus what is already on order. It shows actual quantity, ordered quantity, reserved quantity, projected quantity and the shortage, so purchasing can see at a glance how many more to buy and by when. A trading business runs it every morning; a manufacturer runs it before releasing Work Orders. Items that are only below reorder level but not negative are not shown; that is the job of Items To Be Requested.
Formula
Shortage = projected qty where projected qty < 0; projected = actual + ordered + indented + planned - reserved
How to record it in BRAccount
- 01Go to Stock > Item Shortage Report.
- 02Set Company and optionally Warehouse.
- 03Read Projected Qty and Shortage Qty per row; the most negative first.
- 04Open the item's Stock Projected Qty to see which orders cause the shortage.
- 05Raise a Material Request or Purchase Order for the shortage quantity.
- 06Recheck the next morning; rows disappear as Purchase Orders are submitted.
When to use it
Open daily in a trading business to see what must be bought urgently.
Example from the demo books
An item with 5 in stock and a sales order for 8 shows a shortage of 3.
