GL Entry
Also called: General ledger line
One line of the General Ledger: account, debit or credit, party, cost center, voucher. Every submitted accounting document writes these.
In detail
A GL Entry is one line of the General Ledger: the account, the debit or credit amount, the party if the account is Debtors or Creditors, the cost center, the posting date and the voucher that caused it. Every submitted accounting document writes a balanced set of them, and every report from the Trial Balance to the VAT return is built by adding them up. You never create one directly; the document does, and cancelling the document writes equal and opposite entries marked Is Cancelled rather than deleting anything, which is what the Electronic Billing Procedure's no deletion rule requires. ACC-SINV-2026-00004 wrote three: Debtors Rs 36,160, Sale of Goods Rs 32,000 and VAT Payable Rs 4,160.
Formula
For every voucher, sum of debit GL Entries = sum of credit GL Entries; account balance = sum of its entries
Accounting entry
| Account | Debit | Credit |
|---|---|---|
| Debtors - YFF (Jivan Dahal) | Rs 36,160 | |
| Sale of Goods - YFF | Rs 32,000 | |
| 2261 - VAT Payable - YFF | Rs 4,160 |
How to record it in BRAccount
- 01Go to Financial Reports > General Ledger and set Company, From Date and To Date.
- 02Filter by Account or by Voucher No, for example ACC-SINV-2026-00004.
- 03Read each row: debit, credit, party, cost center and the running balance.
- 04Click the voucher number to open the source document.
- 05To see raw rows, search GL Entry in the search bar and filter by Voucher No.
When to use it
Read only; see the General Ledger report. Cancelling a document writes reversing entries.
