Ledger Merge

Merges one account into another, moving all its GL Entries. It changes the account on existing entries.

In detail

Ledger Merge folds one account into another when two ledgers have been created for the same thing, for example Office Expenses and Office Expense - YFF. On running it, every GL Entry of the old account is rewritten to name the surviving account, the old account is removed, and all reports from that moment show one combined balance. It is not a new posting; it changes the account on existing entries, so past Trial Balances change too. Both accounts must have the same root type and be under the same company. Because it rewrites history, run it only after backing up and never to hide a posting error.

Formula

Surviving account balance after merge = Its old balance + the merged account's balance

How to record it in BRAccount

  1. 01Go to Invoicing > Ledger Merge > New.
  2. 02Pick the company, the account to merge from and the account to merge into.
  3. 03Check both have the same root type and neither is a group with children.
  4. 04Click Merge Accounts. The job runs in the background and reports when done.
  5. 05Open the surviving account's ledger and confirm the combined entries.

When to use it

Create under Accounts > Ledger Merge when two ledgers duplicate each other.

Example from the demo books
