Trial Balance (Simple)

A lighter trial balance: account, debit and credit only, with no opening or closing columns.

In detail

Trial Balance (Simple) is a stripped down version of the Trial Balance: one row per account with only the debit and credit totals, and no opening or closing columns. It is a plain query on GL Entry, so it runs fast even on books with thousands of vouchers and pastes neatly into a spreadsheet. Owners use it for a quick sanity check and auditors use it to tick off balances against their working papers. It shows gross movement, so VAT Payable appears with credit Rs 8,320 collected and debit Rs 4,160 remitted rather than the net Rs 4,160 owed. Do not use it for the year end statements, because the balance sheet needs opening balances that this report leaves out.

Formula

Net balance per account = Total debit - Total credit of GL Entry rows in the date range (VAT Payable: Rs 4,160 - Rs 8,320 = Rs 4,160 credit)

How to record it in BRAccount

  1. 01Type Trial Balance (Simple) in the search bar or open it from Financial Reports.
  2. 02Set Company, From Date and To Date; optionally tick Show Zero Values.
  3. 03Read the Debit and Credit columns for each account; both grand totals must be equal.
  4. 04Look at VAT Payable: credit Rs 8,320 and debit Rs 4,160 means Rs 4,160 is still owed to IRD.
  5. 05Use Menu > Export to paste the list into the auditor's spreadsheet.
  6. 06Open the full Trial Balance when you need opening and closing balances as well.

When to use it

Open for a quick sanity check or to paste into a spreadsheet for your auditor.
