Budget
A spending or income limit per account and cost center for a fiscal year, with warn or stop actions. No ledger effect.
In detail
A Budget sets a spending or income limit for one account, cost center or project in a fiscal year, and tells BRAccount what to do when a Purchase Order, Material Request or Purchase Invoice would exceed it: ignore, warn or stop. It can be spread across months with a Monthly Distribution so Dashain advertising is allowed in Ashwin and Kartik but not evenly all year. The budget never posts; it compares the running actual from GL Entries against the limit at save time. Submitted budgets lock. A budget set on a group cost center or with the wrong fiscal year never triggers, which is the usual reason it seems not to work.
Formula
Budget variance = Budget amount - Actual expense from GL Entries on the account and cost center so far
How to record it in BRAccount
- 01Go to Invoicing > Budget > New.
- 02Pick Budget Against Cost Center and choose Marketing - YFF; set the fiscal year.
- 03Add a row with the account Advertising and Promotion - YFF and the amount Rs 3,00,000.
- 04Set the action on Purchase Order and Actual Expense to Warn or Stop.
- 05Submit. From now on an over budget Purchase Invoice warns or is blocked.
- 06Read the Budget Variance Report under Financial Reports each month.
When to use it
Create under Accounts > Budget; it checks Purchase Orders and Invoices. Submitted budgets lock.
