Authorization Rule
Requires approval above a limit, such as discounts over 10% or invoices above an amount. No ledger effect.
In detail
An Authorization Rule makes a document above a limit wait for approval by a chosen role before it can be submitted, for example Sales Invoices over Rs 5,00,000 or discounts over 10%. It applies to a document type, a company and optionally a customer or item group, and checks grand total, discount percentage or item value. It posts nothing; it only decides who can submit. Used well it stops a junior user giving away a large discount or raising an invoice that changes the VAT return materially. If the approving role is held by nobody, the document is stuck, so assign the role before saving the rule.
How to record it in BRAccount
- 01Go to Setup > Authorization Rule > New.
- 02Pick Transaction Sales Invoice, Based On Grand Total, and the company.
- 03Enter the Authorized Value Rs 5,00,000 and the approving role, for example Accounts Manager.
- 04Save. Invoices above the limit can only be submitted by that role.
- 05Make sure the owner's user has the role under Setup > User.
When to use it
Create under Setup > Authorization Rule.
Example from the demo books
Sales Invoices above Rs 5,00,000 need the owner's approval.
