General Ledger
Every GL Entry for an account, party or voucher in date order, with running balance.
In detail
The General Ledger is the raw book behind every other report: one row per GL Entry, in posting date order, with the voucher number, the account, the party, the debit or credit and a running balance. When an auditor asks why an account shows a figure, the answer is here, voucher by voucher. You can filter by account, party, voucher, cost center, project or Finance Book, and group rows by voucher, account or party. Cancelled vouchers appear as a pair of rows that cancel each other, never as deletions, which is what the six year record keeping rule expects. If the running balance jumps unexpectedly, the voucher on that row is the one to open.
Formula
Running balance = Opening balance on From Date + Debits - Credits of each row in turn; final row = closing balance of the account
How to record it in BRAccount
- 01Go to Financial Reports > General Ledger, or type General Ledger in the search bar.
- 02Set Company, From Date and To Date; tick Include Default Book Entries.
- 03Pick an Account such as Cash, or set Party Type Customer and Party Jivan Dahal for one customer.
- 04Set Group By to Group by Voucher (Consolidated) to see one line per voucher.
- 05Read Debit, Credit and Balance; the opening row shows the balance before From Date.
- 06Click a voucher number to open the Sales Invoice, Payment Entry or Journal Entry behind the row.
- 07Export with Menu > Export when the auditor asks for the ledger of one account.
When to use it
