Payment Ledger
Entries in the Payment Ledger, the sub-ledger that tracks what each customer or supplier owes against each invoice.
In detail
The Payment Ledger is a second, narrower ledger that BRAccount keeps beside the General Ledger for receivable and payable accounts only. Every invoice, payment, credit note and journal against a customer or supplier writes a Payment Ledger Entry that records which invoice the amount belongs to, and the outstanding amount on an invoice is the net of these rows. The General Ledger knows that Debtors moved; the Payment Ledger knows that it moved against ACC-SINV-2026-00004. When the two disagree, perhaps after a migration or a failed cancel, an invoice can show outstanding money while the customer's ledger balance is zero. This report shows the raw Payment Ledger rows so you can see exactly what was allocated to what.
Formula
Outstanding on an invoice = Invoice amount - Payments and credit notes allocated to it in Payment Ledger Entry rows
How to record it in BRAccount
- 01Go to Financial Reports > Payment Ledger.
- 02Set Company, Period Start Date and Period End Date, and the Account such as Debtors.
- 03Set Party Type and Party to see one customer, or Voucher No to see one invoice.
- 04Read Against Voucher and Amount: ACC-SINV-2026-00004 shows Rs 36,160 billed and Rs 36,160 received, net Rs 0.
- 05If the net does not match the invoice's Outstanding Amount, run General and Payment Ledger Comparison.
- 06Repair with Repost Payment Ledger or Repost Accounting Ledger from the search bar for the affected vouchers.
When to use it
Open when the General Ledger balance and the outstanding on an invoice disagree.
