Cheques and Deposits Incorrectly cleared
Payment entries whose clearance date is earlier than the posting date, which cannot happen in reality.
In detail
This is a checking report for one impossible situation: a Payment Entry whose Clearance Date is earlier than its Posting Date. A cheque cannot clear at the bank before it was written, and a deposit cannot be credited before it was received, so every row here is a typing mistake made in the Bank Clearance tool or during a Bank Statement Import. Left uncorrected, these rows make the Bank Reconciliation Statement show the entry as cleared in a period when the bank had not yet seen it, and the reconciliation for that month will not agree. Run it before each monthly reconciliation and after any bulk import of bank statements. It should normally be empty.
Formula
Row appears when Clearance Date < Posting Date on a Payment Entry or Journal Entry against a bank account
How to record it in BRAccount
- 01Go to Financial Reports > Cheques and Deposits Incorrectly cleared.
- 02Set Company, the bank Account and From Date and To Date for the period you are reconciling.
- 03Read each row: voucher, posting date, clearance date and amount; an empty report means nothing to fix.
- 04For a listed row, open Banking > Bank Clearance, find the voucher and correct the clearance date.
- 05Rerun the report until it is empty, then run the Bank Reconciliation Statement.
When to use it
Open before reconciling a bank account to catch typing mistakes in clearance dates.
Example from the demo books
