The ledger

Trial balance

A list of every account with its debit and credit totals. The two columns must agree: that is the proof the books balance.

In detail

The trial balance lists every account with its opening balance, the debits and credits of the period and the closing balance, with grand totals at the foot. Because each voucher is balanced, the debit and credit totals must be equal; the demo books show Rs 26,48,800 on both sides. It is the first thing an auditor asks for and the sheet you check before filing VAT, running the Monthly Close or posting the Period Closing Voucher. Reading down it also catches mistakes a balanced ledger hides: a credit balance on a bank account, an expense sitting under assets, or Temporary Opening still holding a figure. It is read-only; you fix anything it reveals in the source vouchers.

Formula

Total of the Debit column = Total of the Credit column, summed over every account for the chosen period.

How to record it in BRAccount

  1. 01Go to Financial Reports > Trial Balance.
  2. 02Set Company, Fiscal Year and the From and To dates; tick Include Default FB Entries if asked.
  3. 03Read the Closing Debit and Closing Credit totals at the bottom; they must match.
  4. 04Scan for accounts on the wrong side, such as a credit balance under Cash or Bank.
  5. 05Confirm Temporary Opening is zero and tax accounts match the VAT and TDS returns.
  6. 06Use Menu > Export to save an Excel copy for the auditor.

When to use it

Run it before any close or filing. If it does not tie, something posted one-sided, which BRAccount prevents.

Example from the demo books
