Voucher
Also called: Document, entry
Any document that posts to the ledger: Sales Invoice, Purchase Invoice, Payment Entry, Journal Entry, Stock Entry, Purchase Receipt, Delivery Note, Period Closing Voucher.
In detail
A voucher is any document whose submission writes GL Entries. Sales Invoice, Purchase Invoice, Payment Entry and Journal Entry are the everyday ones; Purchase Receipt, Delivery Note, Stock Entry and Stock Reconciliation post stock values; the Period Closing Voucher posts the year-end sweep. Each GL row carries the voucher type and number, so a figure on any report can be traced to the paper that caused it. Vouchers are numbered in series such as ACC-SINV-2026-, and the IRD procedure forbids gaps or deletions, which is why a wrong submitted voucher is cancelled and amended rather than removed. Use the specific document when one exists; a Journal Entry for a sale would miss the VAT registers and CBMS.
Accounting entry
| Account | Debit | Credit |
|---|---|---|
| Bank Account (rename me) | Rs 36,160 | |
| Debtors (Jivan Dahal) | Rs 36,160 |
How to record it in BRAccount
- 01Go to Financial Reports > General Ledger and set the date range.
- 02Read the Voucher Type and Voucher No columns; click a number to open the source document.
- 03To post a sale, use Invoicing > Sales Invoice; to post a receipt, use Payments > Payment Entry.
- 04Use Invoicing > Journal Entry only for adjustments with no dedicated document, such as accruals or corrections.
- 05Submit the voucher. The GL rows post, the number is consumed and the document locks.
When to use it
Every GL Entry names its voucher type and number, so you can always open the source of a figure.
