Draft, Submitted, Cancelled

Also called: Docstatus

The three states of a voucher. Drafts can be edited and post nothing. Submitted documents post to the ledger and lock. Cancelled ones are reversed, never deleted.

In detail

Every voucher moves through at most three states, stored as docstatus 0, 1 and 2. A draft is a working copy: you can edit or delete it and it posts nothing, so the Telegram bot can file bills as drafts without touching the books. Submitting checks the document, writes its GL Entries, assigns the print and CBMS duties and locks the fields. Cancelling writes reversing GL rows dated the same day and marks the originals cancelled; nothing is deleted, which is what the Electronic Billing Procedure 2082 demands. To correct a submitted invoice you cancel it and click Amend, which creates a copy numbered with a suffix such as -1 ready for the fix.

How to record it in BRAccount

  1. 01Create the document and click Save; the status badge shows Draft and no GL rows exist.
  2. 02Review it, then click Submit; the badge turns to Submitted and the ledger rows post.
  3. 03To fix a mistake, open the submitted document and click Cancel; the reversing rows above post.
  4. 04Click Amend to get an editable copy with the next suffix number.
  5. 05Correct it and Submit again; the amended document carries a link to the cancelled original.

When to use it

Save as draft while checking; submit to post. To fix a submitted invoice, cancel it and amend, which issues a new number.
