Asset reports

Asset Maintenance

Scheduled and completed maintenance tasks per asset, from Asset Maintenance.

In detail

The Asset Maintenance report lists the maintenance plans set up for assets and the tasks within them: the asset, the task name, how often it is due, who is responsible, the next due date and whether it is planned, overdue or completed. Vehicles, generators and computers all need servicing on a schedule, and a missed service turns into a breakdown and an expensive Asset Repair. The report reads Asset Maintenance records and their task rows; completing a task creates an Asset Maintenance Log with the cost and date. For a tour company, the vehicle service schedule here is what the Department of Transport inspection asks about. A yearly service for the Dell laptop would list with its next due date.

Formula

Next due date = Last completed date + Periodicity of the task; a task is overdue when Next due date < today

How to record it in BRAccount

  1. 01Set up the plan first: Assets > Asset Maintenance > New, pick the asset, add tasks with periodicity and assignee, save.
  2. 02Go to Assets > Asset Maintenance report in the Assets workspace.
  3. 03Filter by Asset or by Maintenance Status Overdue to see what needs attention.
  4. 04Read Asset, Task, Periodicity, Assign To, Next Due Date and Status per row.
  5. 05When a task is done, open the Asset Maintenance Log for it, enter the completion date and cost, and submit.
  6. 06Book the service bill as a Purchase Invoice to the maintenance expense account.

When to use it

Open to plan servicing of vehicles or equipment and see overdue tasks.
