Asset Maintenance

A schedule of planned maintenance tasks for an asset, with assignees and frequency. No ledger effect.

In detail

Asset Maintenance is a planned servicing timetable for one asset: a list of tasks, each with a frequency, the next due date and the team or person responsible. It is the preventive side of asset care, as opposed to Asset Repair which records breakdowns. The schedule generates Asset Maintenance Logs when tasks fall due, which the assignee completes. It has no ledger effect at all; the cost of a service visit is recorded through the supplier's Purchase Invoice. For a tour company it keeps vehicle servicing and generator checks on time, which matters because an unserviced vehicle fails during the season.

How to record it in BRAccount

  1. 01Go to Assets > Asset Maintenance Team and create the team first if none exists.
  2. 02Go to Assets > Asset Maintenance > New and pick the asset.
  3. 03Add tasks with a description, periodicity (monthly, quarterly, yearly) and assignee.
  4. 04Save. Asset Maintenance Logs are generated for the next due dates.
  5. 05When a task is done, open its log, set the completion date and submit.

When to use it

Create under Assets > Asset Maintenance; its tasks generate Asset Maintenance Logs.
